Event Recording Policies

Event audio and video recordings are the intellectual property of Loyola Law School and the speaker/professors.

Please be aware that by attending any event, class, or activity on the LMU Loyola Law School campus, you consent to being recorded. Recordings may be used for educational or archival purposes by the Law School.

Events at LMU Loyola Law school are not automatically recorded. LMU and LLS community members may request that their event be recorded when making a room reservation using the law school’s official Reservation Form ( https://mastercalendar.lls.edu/reservation-form). Event recordings must be requested at least fourteen (14) days prior to the event date to ensure sufficient time for the Instructional Technology Department to schedule the recording(s), especially for events on days the department is closed, e.g. weekends and holidays.

Only on-campus events may be recorded. Outdoor events that wish to have recordings must first receive permission from the Instructional Technology Department to ensure proper equipment and staffing are available. Please contact the Instructional Technology Department at least fourteen (14) days prior to the event to ensure compliance with staffing policies.

Off-campus events cannot be recorded.

Event Recording Availability and Format

Recordings will be available approximately 5 to 7 business days after the event date. These recordings will be provided in a streaming format and may not be downloaded. Recordings will be stored for one year after the event. If a department wishes to keep a recording for longer than a year, please contact the Instructional Technology Department.

Note:

Recordings may not exceed eight (8) consecutive hours. For example, if a department is hosting a full-day workshop, the recordings must be scheduled in segments, e.g. 8:00am-12pm, 12pm-1:30pm, 1:30pm-5:00pm.

By default, all event recordings are only available to current LMU and LLS community members. A valid LMU or LLS login is often required to view event recordings. Should public access be required for a recording, the appropriate department must sign off on its release (e.g. Marketing, Office of Student Affairs, Dean’s Suite, etc.).

Event recordings may not be captured, saved, edited, or duplicated using other tools that facilitate downloading, screen capture, AI capture assistants, or using mobile device cameras/software.

Student Organization Event Recordings

Student organizations may request that their event be recorded when making a room reservation using the law school’s official Reservation Form ( https://mastercalendar.lls.edu/reservation-form).

In addition to requirements in previous sections, student organizations must receive approval from the Office of Student Affairs to access and distribute their recordings.
