PURPOSE

To ensure the efficient and equitable use of the LLS Zoom Webinar license, this policy outlines the procedures and requirements for requesting a Zoom Webinar through the Instructional Technology department.

Policy

1. Webinar Request Form

All webinar requests must be submitted via the official form: https://lls.edu/webinar-request. Incomplete or emailed requests will not be accepted.

2. Advance Notice Requirement

Requests must be submitted at least 2 weeks prior to the desired webinar date. This lead time ensures proper scheduling, setup, and support.

3. License Ownership

The Zoom Webinar license is owned and managed by LLS Instructional Technology Services. Use of the license is subject to availability and compliance with this policy.

4. Scheduling Priority

Webinars are scheduled on a first-come, first-served basis. Submitting a request does not guarantee availability; confirmation will be provided by Instructional Technology.

5. Support and Setup

Instructional Technology will coordinate with requesters to ensure proper configuration and support. Additional technical support may be available upon request, depending on staff availability.

6. Cancellations and Changes

Any changes or cancellations must be communicated to Instructional Technology at least 3 business days in advance. Repeated last-minute cancellations may affect future scheduling priority.

7. Maximum Capacity

The LMU Zoom webinar license has a maximum capacity of 500 attendees.
